Workflow Overview:
There are two ways to check kids into our kids ministry classrooms: 1) Church Center App, 2) Manual stickers.
Church Center App
- Parents will check their kids into the classrooms on the app.
- The app will generate a QR code
- Parents will scan that QR code at the door of the kids classroom at drop-off (Kids team member will scan).
- At pickup, parents will scan the checkout barcode on the app.
- Leaders will match the app code to the checkout code. Confirm the code, check out.
When you scan the barcode above at check out you’ll see the screen below. Match the security numbers and click check out.
Manual Stickers
If the child/family isn’t in our system or doesn’t have the app, we’ll use the stickers.
- Parents fill out the sticker.
- Stick the filled out info on the kid, keep the security tag for pickup.
Kids Leader Check-in Process
- Download the check-ins app for your phone (we’ll also provide an iPad to use)
Configuring app settings:
- Open the settings on the app.
- Note: The app won’t work unless an event is scheduled. Configure on Sunday mornings or ask Luke to setup a test event.
2. Station Passcode is always: 123456
3. Make sure your settings are as follows:
- Manned station
- Sunday Worship Experience
- All Locations
- Save

HUGE UPDATE FROM PLANNING CENTER
You can always check who has been checked in by switching to a roster station. You can’t check in or out with it, but you can use it to monitor the class and send the parents a text if their child is having a problem.
Getting to a roster station
1. Repeat steps 1 and 2.
2. Make sure your settings are:
- Roster
- Sunday Worship Experience
- Change location to your classroom
- Save
Inside a Roster station
You’ll see a list of all the kids who have attended your classroom in the past 3 months. Kids with green checks next to them have been checked in.
If a child checked into the classroom is checked in, you can send their parents a text by clicking on the message button to the right of their name:
Select the parent to text, select the message, click send!
I love this feature! My suggestion would be to have the iPad in the classroom set to a roster station and use your phone to check in and out.
